Augsburg University Hospital is strengthening patient care through intelligent process automation. The hospital is working with Leadvise Reply, a digital transformation specialist, to implement a powerful automation platform that accelerates the transformation of hospital operations.

By streamlining manual administrative processes, the platform lays the foundation for a future-proof digital infrastructure and improved patient care.

Augsburg University Hospital is one of the largest and newest university hospitals in Germany. It comprises 23 clinics, six institutes and other medical treatment areas and centers with 7,600 employees, including 1,160 doctors and 3,100 nurses.

Transforming healthcare processes through intelligent process automation

The platform currently handles around 2,500 documents per month, including medical reports, processing each case in under 30 seconds, according to a press release. Through text recognition and barcode scanning, key data such as case numbers are automatically captured and reliably transferred to the hospital information system. This minimizes errors, reduces staff workload and streamlines processes.

Protecting sensitive patient data is a top priority. All data is processed locally at the hospital and meets strict data protection and security standards, including individual access rights and regular updates. Built on robotic process automation (RPA) technology, the platform is designed to empower the hospital to automate further processes independently in the future. Comprehensive training courses and a center of excellence ensure the quality and continuous development of the solution.

“This example illustrates the wide-ranging benefits of RPA: seamless integration into existing processes and systems, iterative process optimization even with complex dependencies, easy scalability and rapid implementation,” said Dr Steffen Heider, chief information officer at Augsburg University Hospital.

The new platform enhances both operational efficiency and patient care. Medical reports are available to doctors faster, and administrative delays are eliminated, allowing faster diagnoses and earlier treatment. “Sometimes just a few seconds can make the difference between success and failure in treatment. In these cases, efficient data processing can be crucial – and this is exactly where our solution comes in,” added Dr Heider.

The value of process mining in healthcare

Last year, a research paper authored by academics at the University of Debrecen explored the application of process mining in the healthcare sector. The study evaluated process mining software on functionalities, ease of use, cost, technical support, scalability and security.

The research noted that, despite its potential to enhance efficiency, reduce costs and improve patient satisfaction, the selection of process mining software poses significant challenges due to the diverse nature of healthcare processes and the lack of comprehensive evaluation methods.

To bridge this gap, the study used a hybrid multi-criteria decision-making (MCDM) approach, integrating the neural network-augmented analytical hierarchy process (NNA-AHP) and grey relational analysis, a technique for order preference by similarity to ideal solution (GRA-TOPSIS).

The paper recommended Disco software for healthcare process optimization due to its superior performance. Celonis and ProM were also proposed as viable alternatives for organizations seeking process-mining solutions within the healthcare sector.
